This policy explains what we collect, why, who we share it with, and how you can get at it or have it corrected. It is written to describe what we actually do rather than everything the law permits. WHO WE ARE Placid Auto Group 60 Old Toowoomba Road, Placid Hills, Queensland, 4343 admin@placidconnect.com · 0474735389 WHAT WE COLLECT • your name, email address, phone number and postal address • what you booked, when, and what you paid • payment details — these go straight to our payment processor (Stripe) and are never stored on our systems • a copy of your photo identification, and its type and number • your driver licence details, and the vehicle you hired and when • anything you write to us — emails, messages and enquiry forms • anything you choose to write or upload to our visitors book We do not collect anything we do not need, and we do not buy personal information about you from anybody else. WHY WE COLLECT IT • to provide what you booked and to manage it while it runs • to take payment, and to take the recurring payments you agreed to • to contact you about your booking • to verify who you are before we hand over keys or access — and, where the law requires us to know who is staying, to keep that record • to answer toll notices and traffic infringements. Where an infringement is issued for a vehicle during your hire, we are legally required to nominate the driver to the issuing authority, and we will do so using the details you gave us • to keep the records we are required to keep, including for tax We do not sell your information. We do not use it to advertise to you unless you have asked us to keep you posted, and you can stop that at any time by replying to any message we send. WHO WE SHARE IT WITH • Stripe, our payment processor, so your card payment can be taken • state road and toll authorities, where we are required to nominate a driver • our accounting software, for invoices and tax records • email and SMS providers, so we can send you your confirmations • professional advisers, insurers, or law enforcement where we are legally required to THE VISITORS BOOK Anything you write or upload to our visitors book is published on our website with the name you give — so please use whatever name you're happy for the world to read. We read every entry before it appears. Ask us and we will take yours down. IDENTITY DOCUMENTS We keep a copy of your photo ID only while you are staying with us and for as long afterwards as we are required to. It is stored in our system, is not shared with other guests or residents, and is not used for anything except confirming who you are. HOW LONG WE KEEP IT As long as you are a customer, and afterwards for as long as we are required to keep business and tax records — generally seven years. After that it is deleted. KEEPING IT SAFE Our systems sit behind individual logins and encrypted connections. Card numbers never reach us: payments run through Stripe, which is PCI-compliant. No system is perfect, and if something did go wrong in a way that put you at risk we would tell you and the Office of the Australian Information Commissioner, as the law requires. COOKIES Our website uses only what it needs to work — remembering that you're signed in, and keeping your booking together while you make it. We do not run advertising trackers. SEEING WHAT WE HOLD, AND CORRECTING IT Ask us and we will tell you what we hold about you and give you a copy, usually within 30 days and at no charge. If any of it is wrong, tell us and we will fix it. If you want it deleted, we will delete anything we are not required to keep. COMPLAINTS If you think we have mishandled your information, tell us first at admin@placidconnect.com and we will look into it and come back to you within 30 days. If you are not satisfied you can take it to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.
